General information about the e-application system

The e-application system is the Danish Agency for Science, Technology and Innovation’s online facility for submission of funding applications by means of electronic forms, which for certain programmes replace the paper application forms used to date.

Each call text specifies whether it uses the e-application system.

The strategy for the e-application system

The Danish Agency for Science, Technology and Innovation has laid down a strategy for modernising its administrative procedures.
The strategy aims to:

'Enhance and effectivise funding administration by streamlining and digitising routines, rules and procedures for issuing materials to external users and internally within the Agency.'

Terms and conditions for use of the e-application system

The following sets out a number of issues you should familiarise yourself with before using the e-application system.

Storage of applicant data:

When you use the e-application system, the system automatically registers certain data. When you set yourself up as a user on the system, the system registers your identity, your IP address and the time and date on which you entered or edited your data.

Data are retained in the system for up to 5 years.

Applicant’s responsibilities

It is the responsibility of the applicant to ensure that the details provided in the e-application are accurate, that the necessary appendices have been uploaded to the application, that the contents of the appendices are correct and that the e-application is submitted to the Agency by the deadline specified in the call text under which the application is being made.

Technical disclaimer

The Danish Agency for Science, Technology and Innovation has a duty to notify users of the system of any errors that cause the application system to be inaccessible to the point where it affects the applicant’s means of submitting an application by a specific deadline. Any such instances of system inaccessibility will be notified on the Agency’s website.

In especially severe cases, the Agency may extend the application deadline for all affected applicants. Information about this will also be provided on the Agency’s website.

The Agency disclaims all and any liability for erroneous information ensuing from faults in software, computation errors, transmission faults and similar faults, and disclaims all and any liability in respect of any claim for damages ensuing from incorrect use of the e-application system.

Data protection

Danish privacy law (Danish Act on Processing of Personal Data, Lov om persondata, no. 429 of 31 May 2000) accords you a number of rights when information concerning you is processed electronically. Please note therefore that you have the right, on request, to inspect and verify personal data if such data are processed electronically.

Aside from verification of personal data, no option exists to verify the content of an e-application after its submission.

Correct completion

It is important to ensure that you select the correct e-application form and that you complete it correctly.

The call texts state what omissions and deficiencies in completion of an e-application will result in administrative rejection of the application. It is therefore important to take care to comply with the formal requirements for electronic submissions stipulated in the call text so the substance of your application can be admitted for consideration by the council/programme commission.

Other data which may be obtained by official bodies

The council/programme commission/committee/Agency reserves the right to obtain information about any previous and current applications you may have submitted to the Danish Councils for Independent Research, the programme commissions of the Danish Council for Strategic Research, the Danish Council for Technology and Innovation and/or the Danish Agency for Science, Technology and Innovation. Such information may be taken into account in assessment of your application.

In the event that project funding has been or will be applied for from elsewhere, the council/programme commission/committee reserves the right to obtain information as to whether such funding has been awarded.

Publication

If your application is approved in whole or in part, information on your name and that of any project participants, the place where the project will be performed, the project’s title and duration, any key figures for the grant including the size of the grant will be published

The popular science description of the project may be published in the same places. The names and project titles of applicants who have not been awarded a grant will not be published, but pursuant to the Danish Access to Public Administration Files Act (“Offentlighedsloven”), an application may be made for access to information in e.g. aggregate lists of applicant names and project titles.

You should therefore take care that the project title does not disclose information about the project which is to be kept out of the public domain.

Accessibility (WAI and browser accessibility)

The e-application system has undergone a series of external accessibility tests. The success criterion for accessibility of the system is for it to conform to the mandatory standards for public-sector websites, including WAI level AA requirements.

The e-application system does not conform fully to these standards as yet, but the Agency is working continuously to comply with mandatory accessibility standards. In practice, this means that users with visual impairment will be unable to access the solution without an assistant to read the form aloud.

If you have difficulty using the system at its present standard of accessibility, please do not hesistate to contact the Agency for assistance in completing and submitting your e-application.

The e-application system has been tested in various combinations of different operating systems and browsers and was found to be accessible in by the far the majority of combinations.

Anonymity

Any e-mail messages you send will be retained and used for statistical purposes and to improve the e-application system. Personal data (such as your name or e-mail address) will not be disclosed to any third party.
